Role Description:
We are seeking a full-time Export Documentation Officer to support the company's export operations by preparing, reviewing, and managing all export-related documentation. In this role, you will ensure compliance with international trade regulations, coordinate with customers, carriers, customs authorities, and overseas agents, and facilitate the smooth execution of export shipments.
The ideal candidate is detail-oriented, organized, knowledgeable in international shipping procedures, and experienced in freight forwarding and export documentation.
Key Responsibilities:
- Prepare, review, and process export documentation, including Bills of Lading (B/L), Air Waybills (AWB), Commercial Invoices, Packing Lists, Certificates of Origin, and Customs Declarations.
- Ensure all export documents are accurate and comply with destination country regulations, customer requirements, and international trade standards.
- Coordinate with shipping lines, airlines, trucking companies, customs brokers, and overseas agents regarding shipment documentation.
- Verify shipping instructions and ensure timely submission of documents to customers, carriers, and authorities.
- Maintain regular communication with customers regarding documentation requirements and shipment status.
- Monitor export shipments and support the smooth execution of transportation activities.
- Resolve documentation discrepancies and assist in addressing customs-related issues.
- Maintain accurate records and filing systems for all export transactions.
- Support internal departments by providing documentation required for invoicing, compliance, and operational purposes.
- Stay updated on export regulations, customs procedures, and industry best practices.
Qualifications & Skills:
- Minimum of 3–5 years of experience in export documentation, freight forwarding, shipping lines or logistics operations.
- Strong understanding of international shipping procedures, customs regulations, and trade documentation requirements.
- Excellent attention to detail and accuracy in document preparation.
- Strong communication and customer service skills.
- Good organizational and multitasking abilities.
- Fluency in English (additional languages will be considered an advantage).
- Ability to work effectively in a team-oriented environment.
- Problem-solving mindset with the ability to manage documentation discrepancies efficiently.
- Ability to work under pressure and meet strict deadlines.
- Good knowledge of Microsoft Office applications and freight forwarding or logistics management systems.
