 Paralegal Officer (Thessaloniki)

The Paralegal Office will provide comprehensive administrative, organizational and coordination support to the Legal, Regulatory & Compliance Unit. This role is ideal for a highly organized and detail‑oriented professional who shall act as a trusted administrative and coordination role for the Unit. The Paralegal Officer will support the team in all practical and organizational matters, and the role requires strong organizational skills, hands‑on execution and the ability to proactively support multiple stakeholders with confidentiality.

Key Responsibilities:

  • Office organization & administrative support: preparation and maintenance of files, ensuring accuracy, completeness, proper classification and easy retrieval.
  • Monitoring, organizing and processing invoices and files, verifying billing details, track costs and support budget‑related activities.
  • Legal & Case Management support: collecting, organizing and maintaining case information and background documentation, supporting litigation and out‑of‑court matters by liaising with internal teams and compiling required documentation, maintain an overview of all key deadlines and milestones, proactively following up with stakeholders and coordinating required actions.
  • Compliance & Process support: assistance in compliance monitoring activities and support the preparation of reports, internal reviews and documentation, contribution to the maintenance of internal policies, procedures and documentation workflows.
  • Coordination, Communication & Reporting support: liaising with internal stakeholders and external advisors, coordinating document exchange and monitoring deliverables, assisting in scheduling meetings, agenda preparation, material compilation, minute‑taking and follow‑up on action items.
  • Assistance in the Preparation of presentations, reports and briefing packages for Management and internal stakeholders.

Απαραίτητα Προσόντα

Key Skills & Mindset:

  • Highly organized, reliable and detail‑oriented with strong follow‑through skills.
  • Ability to manage multiple tasks, deadlines and priorities efficiently.
  • High level of discretion and ability to handle confidential information.
  • Strong administrative mindset with a proactive, hands‑on approach.

Education & Qualifications:

  • Degree in Law - Valid license to practice law (not mandatory but considered a strong asset).
  • Professional training or certification as a Paralegal would be considered an asset.
  • Familiarity with document management and/or invoicing system workflows.
  • Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent command in English (written and spoken); additional EU languages would be considered an asset.

Work Experience:

  • At least 3 years of experience as a Paralegal, Legal Assistant or in legal back‑office / administrative support role within a corporate legal department or law firm.
