We are a growing construction company seeking a reliable and organized Secretary / Assistant fluent in English, to support daily office operations and assist our project team with administrative coordination. This role is ideal for someone who enjoys structure, communication, and keeping things running smoothly.
Key Responsibilities
- Manage daily office administration, filing, and document organization
- Answer and direct phone calls, emails, and general inquiries professionally
- Schedule meetings, manage calendars, and coordinate appointments
- Prepare and format documents (letters, quotations, contracts, reports, etc.)
- Maintain records for projects (subcontractor documents, permits, site paperwork, purchase orders)
- Support invoicing, expense tracking, and basic bookkeeping tasks (if needed)
- Coordinate with suppliers, subcontractors, and clients (calls, confirmations, follow-ups)
- Assist with procurement administration (requests, comparisons, order tracking)
- Keep office supplies stocked and ensure smooth office operations
- Provide general support to management and site teams as required
Qualifications
- 1+ years of experience in a secretarial or administrative role
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills in English
- Proficiency in Microsoft Office (Word, Excel, Outlook) (Google Workspace is a plus)
- Ability to manage multiple tasks and prioritize effectively
- Professional discretion and ability to handle confidential information
- Comfortable working in a fast-paced environment and meeting deadlines
Preferred (Nice to Have)
- Experience in construction/engineering/technical office environments
- Familiarity with invoicing or basic accounting support
- Knowledge of document control systems or project administration
