About the Role
We are looking for a
highly organized and proactive Personal Assistant to Management to support
senior managers in a fast-paced environment. This role is ideal for someone who
thrives on structure, anticipates needs, and can handle multiple priorities
with discretion and professionalism.
Key Responsibilities
- Manage complex
calendars, scheduling, and meeting coordination across multiple stakeholders
and time zones.
- Organize and support daily workflows for managers, including
task tracking and follow-ups.
- Coordinate travel arrangements (flights,
hotels, transfers) and prepare itineraries.
- Prepare and format documents,
presentations, and reports (Word/PowerPoint/Excel).
- Handle professional email
and phone correspondence on behalf of managers when required.
- Arrange
internal and external meetings, including agendas, minutes, and action items.
- Support event planning (offsites, team meetings, client visits) and manage
logistics end-to-end.
- Maintain orderly filing systems (digital and physical)
and ensure documentation is accessible and up to date.
- Liaise with vendors
and service providers; assist with invoices and expense tracking.
- Provide
ad-hoc operational support as needed, always ensuring confidentiality and high
attention to detail.
Ideal Candidate Profile
- 2+ years of experience as a
Personal Assistant / Executive Assistant / Administrative Assistant, ideally
supporting senior leadership.
- Excellent organizational skills and the ability
to juggle priorities calmly under pressure.
- Strong written and verbal
communication skills; confident and professional demeanor.
- High level of
discretion and ability to handle sensitive information.
- Strong command of
Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with Google
Workspace is a plus.
- Comfortable coordinating with internal teams and
external partners.
- Strong problem-solving mindset and a proactive “can-do”
attitude.
- Fluency in English (written and spoken); Greek is a plus (if
applicable).
