Role Description

We are seeking a reliable and detail-oriented Financial & Administration Associate to support the financial management and administrative operations of the company.

The role combines financial monitoring, administrative coordination, and operational support, contributing to the smooth and efficient functioning of daily activities.

CG+A & Partners is an architectural company with extensive experience in the architectural design management of a wide range of residential, retail, office, mixed-use, industrial and hospitality projects of various scales in Greece and Internationally.

The successful candidate will assist with financial tracking, budget preparation and monitoring, document management, supplier coordination, and general office administration across these different projects.

The ideal candidate is organized, proactive, and comfortable working with both financial information and administrative processes in a dynamic, multi-project environment.

Job description

Financial Administration

  • Assist in the preparation and monitoring of financial records, budgets, and expense tracking.
  • Maintain organized records of invoices, payments, and financial documentation.
  • Support the preparation of financial summaries and internal reporting.
  • Follow up on supplier invoices, payments, and outstanding balances.
  • Assist with expense categorization and financial data entry.
  • Liaise with the company’s external accountant to facilitate accurate financial reporting and improve overall financial organization.
  • Ensure proper filing and archiving of financial documents.
  • Participate in the creation and continuous improvement of Excel-based financial monitoring and project tracking templates used across multiple company projects.

Administrative & Office Management

  • Provide administrative support to ensure smooth office operations.
  • Maintain organized digital and physical filing systems.
  • Assist in preparing documentation files for administrative permits, contracts (including agreements with external partners), reports, and presentations.
  • Handle confidential documents and information with discretion.

Operational & Project Support

  • To prepare financial offers and contracts pursuant to the instructions and under the supervision of the Manager, and to duly provide the Manager with regular updates regarding their status and progress following their execution.
  • Assist in monitoring administrative and financial documentation across multiple active projects simultaneously.
  • Support coordination with suppliers, contractors, and external partners.
  • Conduct supplier research, obtain quotations (proformas), and assist in the comparison and compilation of offers.
  • Prepare and place orders with suppliers and monitor their timely delivery.
  • Assist management with operational and coordination tasks when required.
  • Contribute to improving internal processes and organizational efficiency.

Απαραίτητα Προσόντα

Key Qualifications & Experience

  • Minimum 3 years of experience in an administrative, finance, or operations support role.
  • Experience with financial monitoring or bookkeeping support.
  • Strong organizational skills and attention to detail.
  • Fluent in Greek and English (written and spoken).
  • Proficiency in Microsoft Office Suite, with advanced knowledge of Excel (essential).
  • Ability to manage multiple projects, tasks, and priorities simultaneously in a fast-paced environment.
  • Professional attitude and ability to handle confidential information with discretion.

Preferred Qualifications

  • Bachelor’s degree in finance, Business Administration, Accounting, or a related field (preferred).
  • Experience working in construction, real estate, energy, or project-based environments.
  • Strong IT literacy and familiarity with digital tools is considered an asset.
