About the Role:
- You will be responsible for providing
daily administrative support to selected Executive Committee members, ensuring
smooth and efficient operations by streamlining processes, managing
communications and enhancing overall effectiveness.
As an Assistant you will:
- Support
the management of the daily agenda of the Executive Committee team members, assisting with scheduling and prioritization.
- Coordinate
meetings, appointments, and conference calls, ensuring logistical arrangements are in place.
- Assist
with travel arrangements (including itineraries, accommodation, and documentation) and travel expenses.
- Prepare
meeting materials, agendas, and basic presentations, and support follow up
actions.
- Handle
expense reports and support the tracking of expenses and maintenance of financial documentation.
- Manage
incoming and outgoing correspondence.
- Maintain
organized filing systems (electronic and hard copy).
- Provide
ad hoc administrative support to managers and team members.
- Support
and manage the creation and follow-up of the function’s purchase orders, ensuring
timely processing, accurate documentation, and coordination with vendors and internal
stakeholders.
- Deliver
professional and courteous reception services to employees, visitors, and callers,
including operating the telephone switchboard, and covering reception responsibilities in the absence
of the designated receptionist.
