Περιγραφή

ManpowerGroup Greece, on behalf of its client, an independent physical supplier in bunkering for marine fuels with a continuous presence of over half a century, is seeking to recruit an Executive Personal Assistant, based in Piraeus, Athens.

Main Responsibilities:
Business Accountabilities

  • Coordinates and manages the executive's calendar, including scheduling and arranging meetings, appointments, and conferences
  • Manages the executive's email inbox and handles phone calls and inquiries
  • Prepares meeting materials, including agendas, presentations, and relevant documents
  • Coordinates and arrange all travel logistics, including flights, accommodations, transportation, and visas
  • Organizes and maintains both physical and electronic filing systems for documents, records, and confidential information
  • Builds and maintains positive relationships with clients, partners, suppliers, and other stakeholders
  • Handles general administrative tasks, such as expense tracking, invoice processing, and supply management

Non-Business Accountabilities

  • Coordinates and manages the executive’s personal calendar, including scheduling appointments, events, and personal commitments
  • Arranges travel accommodations, transportation, and itineraries for personal trips or vacations
  • Oversees household operations and manages domestic staff, if applicable
  • Organizes and maintains household inventories, supplies, and equipment
  • Arranges medical appointments and coordinates fitness activities
  • Assists in planning and coordinating personal events, gatherings, and social engagements
  • Maintains strict confidentiality regarding personal matters, sensitive information, and private conversations

Candidate Profile:

  • At least 5 years of working experience as a Personal Assistant or in a similar role
  • Bachelor's degree
  • Excellent command of English language (written and spoken)
  • Advanced knowledge of Outlook and MS Office programs
  • Private vehicle owner
  • Excellent interpersonal and communication skills and ability to integrate into all levels of the organization
  • Excellent organizational and time management skills
  • Flexibility to adapt to changing priorities and work outside regular business hours, if necessary
  • Ability to handle confidential information with discretion
  • High level of professionalism in all aspects
