ICAP Recruitment Solutions on behalf of its client, a Scandinavian travel arrangements company, is looking for a capable and creative Administrative Assistant to join their HR team.
Administrative Assistant (5509/ADA/ESS/GR)
Responsibilities:
- Efficiently manage data entry and ensure the real-time accuracy of both external (ERGANI) and internal HRIS (Exelsys).
- Oversee the HRIS system (Exelsys), generate diverse HR Metric reports, and present findings to HR Manager/VP People & Culture.
- Conduct diverse administrative tasks, including ΕΦΚΑ, bank references, bonus letters, and salary increase letters.
- Maintain comprehensive personnel records in Exelsys and manual files, when necessary (qualifications, training diplomas, applications, employment history, disciplinary actions), ensuring GDPR compliance.
- Provide employee data and generate reports for Group Insurance related to Health and Life Insurance programs.
- Assist in the preparation of mid-year and end-year Power Point presentations by creating drafts for the VP of People and Culture to use.
- Coordinate recruitment processes, from posting job ads to scheduling interviews and overseeing background/reference checks.
- Manage the Health and Safety process, ensuring required documentation and postings are up to date, and communicate with line managers regarding safety technician visits.
- Handle day-to-day administrative tasks, maintaining confidential employee files/records and processing paperwork.
- Support payroll activities by gathering and analyzing data to assist the HR Manager/VP People & Culture.
- Uphold compliance policies and procedures for payroll and HR processes.
- Collaborate with the HR department to ensure full compliance with changes to employment law, internal security, and audit procedures, consistently implementing best practices.
- Work closely with the team to foster a performance-driven culture, encouraging individual ownership of results and associate development.
- Prepare and submit documentation required for HR award participation.
- Assist the HR department with administrative and logistical tasks, organizing events like Town Halls and Christmas parties, and coordinating CSR efforts.
