As an Administrative Assistant your responsibilities will be:


  • Participating in the organization and co-ordination of conferences, sponsorships, advisory boards, medical education events and activities, symposia, and internal meetings.
  • Veeva event management administration and support to business owners. Supports and coordinates all relevant events in the Veeva event management system.
  • Handling purchase orders and invoices and ensures optimal cost follow up of Operational Expenses.
  • Communication with various internal and external stakeholders incl. 3rd parties for processing of event logistics, documents, contracts, or other requirements, e.g., signatures, tracking & reconciliation, payments, and archiving of contracts in Apttus.
  • Supporting marketing projects and materials, interactions with agencies, circulate and process materials in approval system.
  • May assisting or lead cross functional projects.
  • May supporting Business Unit Director with team meetings organization, lunches and similar.
  • Position may include routine activities, such as word processing, answering calls, creating power point presentations, assembling reports.
  • May acting as back-up for another marketing specialist or other admin role, during absences.
  • Onboarding of new employees in cross functional team for systems and processes incl onboarding schedule.

Απαραίτητα Προσόντα

The qualifications for this Administrative Assistant position are:

  • University degree.
  • 1-2 years of relevant experience within Pharma. Pharma industry experience is highly preferrable to understand the complexities of the respective Greek industry rules and regulations.
  • General knowledge of industry practices, techniques and standards is required.
  • General application of marketing concepts and principles.
  • Good interpersonal and communication skills in Greek and English (verbal & written).
  • Strong administrative skills, detail orientation, and project coordination ability.
  • Excellent skills in MS Office and overall fluency with IT systems.
