Job Description:
We are seeking a dedicated and organized Reservations Agent to join our team
under the guidance of the Reservation
Manager. The ideal candidate will handle guest inquiries via
phone and email, manage reservations, and assist with various administrative
tasks to ensure seamless coordination with other hotel departments. As a key
point of contact for guests, you will need to be highly knowledgeable about
room types, amenities, and hotel policies to provide accurate information to
both new and returning guests.
Key Responsibilities:
- Responding to guest inquiries via email
and following up on requests.
- Answering phone calls related to room
reservations and modifications.
- Recording and updating bookings
using Pylon PMS.
- Monitoring room availability and
adjusting as directed by the Reservation Manager.
- Updating room rates based on manager
instructions.
- Managing electronic filing and
record-keeping.
- Delivering the day's arrival reservations
to the front desk.
- Recording daily customer payments
in Pylon PMS.
- Performing cash flow checks and reconciling payment links/e-commerce transactions with
PMS records.
- Providing daily updates to the Reservation Manager on
workflow and progress.
- Assisting in tracking guest payments
under the manager's guidance.
- Supporting the issuance of invoices for
travel agents.
- Assisting with monitoring hotel listings
on IDS platforms
and websites.
- Communicating with the Guest Experience Manager, Food & Beverage Manager,
and Hotel Manager regarding
special requests and guest requirements.
- Organizing site inspections in coordination
with the Hotel
Manager upon agent request.
- Forwarding incoming emails to relevant
departments, including promotional materials, marketing content, and other
general inquiries received via the info email
address.
