A well-established company in the shipping sector is looking for a Delivery Order & Administrative Assistant to join its team. This role combines operational coordination (Delivery Orders) with administrative and corporate support, contributing to the smooth execution of daily operations and high-quality customer service.
Key Responsibilities
Operations & Delivery Order Support
- Manage and monitor Delivery Order processes for import shipments
- Review and process shipping documentation (B/L, LOI, authorizations, etc.)
- Communicate with customers, partners, and shipping lines to resolve discrepancies
- Coordinate with Documentation, Invoicing, and Operations departments
- Monitor shipment arrivals and delivery progress
- Support the handling of extra charges and container return procedures
Front Office & Administrative Support
- Welcome visitors and manage incoming communications
- Support daily administrative and office coordination tasks
- Manage office supplies and liaise with vendors
- Coordinate facility-related issues with technicians and suppliers
Corporate Communication Support
- Liaise with external partners (PR agencies, consultancies) for corporate communication
- Assist in maintaining and updating company platforms (e.g. intranet / portal)
- Support marketing and promotional activities (brochures, gifts, corporate materials)
- Contribute to initiatives enhancing company image and customer experience
