The Role

As a Procurement & Production Planning Assistant, you will support the PPP Manager and Officers in the day-to-day execution of procurement, production planning and supply coordination activities. You will help turn approved requirements into accurate ERP entries, up-to-date schedules and timely follow-up with suppliers and Contract Manufacturing Organisations (CMOs).

Working across packaging materials, raw materials and finished dosage forms, you will maintain records and trackers, coordinate routine documentation and logistics workflows, and promptly flag delays, inconsistencies or missing information to the team.

This role is ideal for someone who wants to build practical experience across procurement, production planning and pharmaceutical supply chain operations in an international, outsourced manufacturing environment.

Key Responsibilities

  • Support the procurement of packaging materials by issuing approved requests for quotation, collecting supplier offers and preparing clear price and commercial comparisons for review.
  • Prepare, enter and maintain approved purchase orders in the ERP system for raw materials and finished dosage forms, ensuring that order data and supporting records are complete and accurate.
  • Follow suppliers for order acknowledgements, lead times, required documentation and delivery dates, escalating delays or discrepancies to the relevant Officer or Manager.
  • Maintain production schedules and open-order trackers, obtain routine status updates from CMOs and monitor execution against agreed timelines.
  • Compile material-readiness information and support the timely delivery of raw and packaging materials to CMOs in line with planned production activities.
  • Coordinate routine transport bookings and customs-clearance documentation, where applicable, with approved logistics providers and relevant internal teams.
  • Check supplier invoices against approved purchase orders and receipt information, and support the invoice approval and payment workflow with Accounting.
  • Coordinate routine sample requests, dispatches and receipts, maintaining accurate records and following up on pending actions.
  • Support the preparation and management of packaging material artwork by collecting technical templates, circulating proofs, tracking approvals, maintaining version control and following suppliers through production and delivery.
  • Maintain supplier, material, pricing and status records, shared folders and departmental trackers, and contribute to regular updates on pending orders, materials and production activities.

Candidate Profile

  • University degree in Business Administration, Supply Chain Management, Logistics, Operations Management or another relevant discipline from a business or economics faculty.
  • Previous experience or an internship in procurement, production planning, supply chain, logistics, order administration or a related operational role will be considered an asset.
  • Experience within the pharmaceutical or another regulated industry will be considered an additional advantage.
  • Very good command of English, written and spoken.
  • Very good knowledge of Microsoft Office, particularly Excel. Experience with ERP systems will be considered an advantage.
  • Good numerical skills, accuracy and attention to detail when working with quantities, prices, dates, documents and system records.
  • Excellent organisational skills, with the ability to manage multiple tasks, deadlines and follow-ups in a structured manner.
  • Clear communication, a proactive and reliable working style, and confidence collaborating with colleagues, suppliers, CMOs and service providers.
