Business Support Officer is responsible for the business support activities for the Head Offices, ensuring excellence of service, according to Company’s standards. The main duties include the maintenance and update of the central company protocol, managing incoming calls and the Company archive, handling the Company’s central access control system, acting as the main SAP requisition point, providing all necessary administrative support to departments and administering workspace housekeeping. Reports to HR Operations & Business Support Section Manager.

Responsibilities:

  • Acts with professionalism, ethics and a high sense of responsibility and collegiality, at all times.
  • Operates the Central Company Protocol, HQ Contracts Archiving and the Warehouse of the Company’s Head Offices.
  • Coordinates and circulates accordingly all incoming mail from the Company’s central e-mail and handles incoming calls (e.g. answers, provides 1st level support, redirect to call center).
  • Coordinates & monitors the timely and efficient order, receipt, storage and replenishment of all consumables (e.g. office stationery, kitchen supplies, catering needs and office equipment).
  • Administers the inflow/outflow of guests/collaborators to/from Head Offices (scheduled visits and unscheduled meetings), including the visitors’ parking areas, according to the company’s Access Control procedures. Ensures all proper arrangements for timely organization of meetings and communicates daily meeting’s lists.
  • Provides all necessary administrative support to Company Divisions/Departments, upon request.
  • Handles all company’s incoming telephone calls, enquiries and requests to the central line.
  • Arranges travelling and accommodation for Athens staff, in accordance with Company procedures.
  • Acts as the main SAP requisition point for Athens Head Offices.
  • Issues and/or deactivates the access cards of personnel and visitors and handles the central access control system
  • Handles the courier and postal mail (e.g. records delivery requirements, handovers packages and informs accordingly the interested parties)

Απαραίτητα Προσόντα

Requirements:

  • BSc in Business related field.
  • At least 3 years of relevant working experience in a similar position in a multinational, corporate environment.
  • Advanced knowledge of the English language (oral & written).
  • Proficient computer skills.
  • MS Office (preferably Excel, Word, Power-Point), SAP.
  • Excellent organization, time management and internal customer-service skills.
  • Go-to attitude and astute to Business Ethics.
  • Organizational awareness and ability to handle confidential information at all times.
  • Excellent written and oral business communication in Greek and English.
