Administrative Assistant (Embassy of European Country)
Job Description
Managing and organizing the embassy's administrative office (supplies, equipment, emails, phone calls, incoming & outcoming correspondence)
Scheduling appointments, meetings, and events for embassy officials and diplomats
Keeping track of important dates and deadlines
Filing and organizing documents and records
Greeting and assisting visitors to the embassy
Assisting with visa and passport applications, including collecting and processing necessary documentation
Providing information to applicants and addressing their inquiries
Making travel arrangements for embassy staff, including booking flights, hotels, and transportation.
Assisting with protocol matters related to diplomatic visits and official events
Preparing travel itineraries and ensuring all necessary travel documents are in order
Assisting in the planning and organization of embassy events, receptions, and meetings
Coordinating logistical details (catering, guest lists)
