As a Facilities Administrator, you will provide essential administrative support to the Facilities Department, ensuring the smooth coordination and documentation of facilities operations across the hotel. This role is ideal for a highly organized and detail-oriented professional who can effectively manage administrative processes, support maintenance planning activities, and contribute to the efficient operation of the department.
Responsibilities
- Provide administrative support to the Engineering Department, assisting with the day-to-day coordination of maintenance activities and operational requirements.
- Create, maintain, and update engineering records, work orders, preventive maintenance schedules, service contracts, and departmental documentation.
- Monitor and track maintenance requests through the hotel's maintenance management system, ensuring timely follow-up and completion.
- Coordinate communication between the Engineering Department, other hotel departments, and external contractors to facilitate efficient workflow and service delivery.
- Assist in the preparation of reports, presentations, budgets, inventory records, and departmental correspondence.
- Maintain accurate filing systems for equipment records, certifications, permits, warranties, and compliance documentation.
- Support procurement activities by preparing purchase requests, tracking orders, and maintaining supplier information and documentation.
- Ensure that all administrative processes comply with hotel policies, safety standards, and operational procedures.
- Respond professionally to internal inquiries and provide administrative assistance to the Chief Engineer and Engineering leadership team.
