Since 1970, Samaritan's Purse has helped meet needs of people who are victims of war, poverty, natural disasters, disease, and famine with the purpose of sharing God's love through His Son, Jesus Christ.
 
 
Job Summary

The HR, Finance & Admin Officer will be responsible for the respective areas of operational support to the Kos field office. For Human Resources this includes maintaining personnel records, reporting payroll, and assisting the AC with the recruiting process. Regarding financial duties, the Officer will be responsible for the accurate and timely filing and tracking of finance, human resources, logistics and project-related documents in an electronic document system, as well as assisting with cash expenditures in the Kos office. Additional administrative duties as assigned.

 

Key Responsibilities

HR

  • Proactively liaise with the Area Coordinator in identification of staffing gaps.
  • Maintain and update personnel records, keeping full, accurate and confidential information on all staff.
  • Track staff leave and attendance records, guiding management in planning, appropriate action and efficient working practices where necessary.
  • Track and report payroll to Athens HR for all staff in the respective region.
  • Ensure staff welfare, safety and health are maintained and maximized where possible.
  • Ensure Samaritan’s Purse is working in accordance with Greek Labor Laws and employment requirements for location of work.
  • Ensure all staff are aware of organizational policies, and arrange regular staff meetings to reinforce positive behavior, address issues, communicate information and receive feedback on management decisions.
  • Communicate new procedures, policies and guidelines as indicated in the HR Manual and as updated by the HR Manager.
  • Ensure all HR issues are dealt with in a timely manner and all staff grievances are addressed appropriately.
  • Manager the performance management cycle for the location of work.
  • Develop and coordinate new staff orientation with Athens HR.
  • Distribute, collect, and process new-hire paperwork. Also make sure new employees have an employee badge, read the employee handbook, and sign all appropriate documentation.
  • Be intentional about finding creative ways to support staff.

 

Finance

  • Provide and maintain tracking of all archived files both hard copy and/or electronic as requested.
  • Maintain files received from finance, human resources, logistics, and other important documents as directed in an organized manner.
  • Disassemble files and scan contents into an electronic document system.
  • Locate and retrieve documents when requested during internal or donor audits.
  • Assist the managers with preparation of monthly reports by submitting electronic documents as needed.
  • Backing up of all computer files on external storage on a regular and timely basis
  • Maintain detailed records for financial transactions in an organized and professional manner.
  • Perform daily functions including recording all cash transactions and maintaining cash ledgers.
  • Ensure financial/accounting activity is carried out in accordance with SP’s field accounting policies.
  • Ensure cash is reconciled on a weekly basis, reporting any over/under to finance manager and investigate any over/under situations.
  • Upload weekly cash activity into online financial software.
  • Communicate with Athens finance team to process wire transfers for Kos expenditures as needed.
  • Provide assistance to the Area Coordinator and Area Program Managers in reviewing budget versus actual reports each month.
  • Forecast cash needs for Kos programs and operations.
  • Provide assistance in preparing budgets for Kos programs and operations as needed.
  • Maintain close and cooperative working relationships with fellow staff and the Finance Manager.
  • Follow all procedures provided by Finance Manager and Country Director.

 

Admin

  • Assist with driver scheduling and pickups.
  • Make travel and accommodation arrangements for travelling staff.
  • With a generous and serving spirit perform all other tasks and responsibilities assigned for the benefit of Samaritan’s Purse Greece.

Education / Experience Needed

§  Bachelor’s Degree in related field or one or two years related experience and/or training or equivalent combination of education and experience.

  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Language

Ability to read and interpret documents in English. Ability to write routine reports and correspondence in English. Greek language skills required.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
